Buyer Qualification Checklist
Use this checklist to prepare a complete, comparable buyer requirement before XTO GROUP INC reviews supplier fit and begins coordination.
Requirement preparation
The eleven fields a qualified buyer requirement should define
A structured requirement lets XTO GROUP INC compare suppliers on equal terms and coordinate documentation, logistics and payment structure without repeated clarification rounds. Completing all fields does not guarantee supply; every programme remains subject to supplier verification and availability.
- 1Legal company name
- Registered legal entity, country of incorporation and tax ID or equivalent commercial registration, so XTO can run a basic commercial fit check.
- 2Product / specification
- Exact product name, grade, variety, quality standard, certification or inspection requirement, and any destination-market regulation that applies.
- 3Monthly and annual quantity
- Trial shipment volume, expected monthly run-rate, and annual programme volume if applicable.
- 4Packaging
- Bag, box, bulk or other packaging; unit size; palletisation; marking and language requirements.
- 5Destination country / port
- Target discharge port or inland delivery point, plus any import permit, quota or customs constraint already known.
- 6Preferred origin if any
- Countries or regions of origin you accept or prefer, and any origin you must avoid for regulatory or commercial reasons.
- 7Delivery schedule
- First shipment window, cadence, and any seasonality or deadline that affects supplier selection.
- 8Preferred Incoterm
- FOB, CFR, CIF, DAP or another term that defines where cost and risk transfer between supplier and buyer.
- 9Payment terms
- Documentary letter of credit, documentary collection, advance payment, open account, or other bank-verified structure.
- 10Inspection / certification requirements
- Third-party inspection agency, loading/discharge inspection, sampling protocol, health/phytosanitary certificates and quality certificates required.
- 11Trade financing required
- Yes / No. If yes, describe the facility, issuing bank if known, tenor and any collateral or guarantee structure available.
Why a complete requirement matters
- XTO can compare supplier options against the same documented criteria rather than incomplete assumptions.
- Documentation, logistics and payment structure are coordinated earlier because the requirement is already defined.
- Trade finance discussions with external banks move faster when the commercial package is complete from the start.
- Both parties save time by discovering mismatches in specification, volume, origin or payment terms before quotes begin.
XTO GROUP INC uses this information to coordinate sourcing, documentation, logistics and payment structure between qualified buyers and potential suppliers. XTO does not guarantee supply, availability, pricing or financing approval.
